Executive Assistant

BASIC FUNCTION:
The Shared Executive Assistant ensures that the offices of the CEO and President operate in an organized and efficient environment to enable them effectively execute their duties and responsibilities.  This includes daily support, organization and administration of personal and professional responsibilities of these two individuals. This role is also responsible for providing support to the Investor Relations Council, Chamber Officers, Executive Committee and Board of Directors.  The Shared Executive Assistant is responsible for continually seeking and implementing work activities and procedures to improve the efficiency and effectiveness of the executive office.
 
This role will coordinate closely with second level management and executive leadership to assure efficient operations. The Shared Executive Partner is the face of the Chamber when it comes to support and administration of the organization. Excellent customer service and a passion for serving others is key to create a positive energy and excitement for Chamber staff, volunteers and the CEO and President.   
 
KEY ACTIVITIES:
Essential duties and responsibilities include, but not limited to:

  • Management of the daily operations of the Executive Office, including financial and office management.  Interfaces with the Investor Relations Council, Chamber officers, executive committee, board of directors as well as Fort Worth businesses, community and political leaders which includes:
    • Handles confidential written and verbal (telephone) correspondence.
    • Produces, distributes, and manages email and letter correspondence for the CEO and President.
    • Manages and coordinates special projects where they are directly involved, such as marketing trips, conferences, receptions and dinners.
    • Manages calendar scheduling and accurate executive filing system, as well as historical files for the organization. 
 
  • Works with finance on executive team department budget.  Properly codes billings and expenses.  Files expense reports for CEO, President and self in a timely manner.
  • Assists President in preparing for meetings of the Investor Relations Council, Chamber Officers, Executive Committee and Board of Directors.  Works closely with the CEO and President to set the agenda for these meetings.  Must attend these meetings to take minutes. Prepares and executes resolutions and meeting minutes for Board approval.  Keeps close contact with the Investor Relations Council, Chamber Officers, Executive Committee and Board of Directors through e-mail, faxes, written and verbal communications.  Utilizes personal judgment in contributing to the preparation and implementation of these meetings.  Keeps the database current on all Investor Relations Council, Chamber Officers, Board and Executive Committee members. 
  • Manages the North Texas Cutting Champions Club efforts to raise money each year to keep the NCHA in Fort Worth.  Keeps the current database of these members, handles billings and accounting as well as the budget. 
  • Maintains current knowledge of responsibilities, projects and activities of each Chamber division.
  • Utilizing personal judgment coordinates any special projects, programs or meetings, which may be assigned.
  • Assumes special support duties for ad hoc Chamber initiatives.
  • Assists with organizing and planning of the Annual Board Orientation and Board Retreat. 
  • Logistically plan and execute all meetings and special events related to the Executive Department, including the Oversight Committee and Nominating and Structural Review Committee. 
  • Coordinate news release for new board members and coordinates deadlines with Marketing.
  • Performs other related duties as required.
 
KNOWLEDGE & EXPERIENCE:
  • College diploma preferred.
  • Four to six years prior experience in executive office management is preferred
  • Must have professional knowledge of business discipline. 
  • Must have excellent organizational, communication and computer skills. 
  • Requires good interpersonal skills.
 
DECISION-MAKING AND ACTION TAKING: 
Must be able to make independent judgments and decisions of both a tactical and strategic nature and be capable of directing and operating events.
 
PHYSICAL REQUIREMENTS:
  • Some domestic travel
  • Moderate noise level
  • Some lifting of boxes of up to 25 pounds
  • Long periods of sitting
  • Early morning meetings and evening functions
